What Are The Items Of Mailroom Equipment That Any Mailroom Would Need?

The days when a letter opener and a roll of stamps could handle all the mail in even a small office are long gone. Mailroom equipment makes doing the job by hand a costly task. Whether you need equipment that does it all or just the essentials, it will save you time and money.

While you can get postage online, it is maddeningly time consuming. While you are logging on, a plain vanilla postage machine can process dozens of envelopes. Add something as simple as a sealer and you eliminate nearly all the handwork postage requires.

To determine what or how much equipment you might need, you should know your daily mail volumes. Spending an hour or more on mail everyday often costs more than a simple postage meter per month. Employees time may be better used elsewhere.

Shipping anything is notoriously time consuming. There are scales available that have built in rate figuring. These often use EPROMs that can be changed when the rates change. That is a great benefit all by itself.

If you need to track your mailings then postage machines are available that utilize the US Postage tracking system. You can get on-line updates. Also the supplies are easy to get or can be brought to you by your postal delivery person.

There are more complicated machines out there too. These an be programmed to do the printing as well as stuffing the collated and stapled documents, addressing the envelopes and sorting them by zip code. Then they affix the postage and seal the whole package. These are the ultimate in hands free processing.

Even bulk mailings can be handled in-house with the right equipment. Though there are firms that do it specifically. They may offer mailing machines to their clients as well. You cannot buy a postage meter, only rent one from the government, but the equipment it runs in can be leased or bought.

All postage equipment is now traceable. The US government requires that all postage meters be identifiable. The meter is actually only a small part of most of these mailing machines. It is often completely out of sight when the equipment is in operation.

It is possible to find mailroom equipment that is just right for your needs. Even if you out source your bulk mailings a simple postage machine can likely cuts costs. And not having to lick an envelope is just one of the perks.
